Privacy Policy

What information Edubeam collects, why we collect it, where it is stored, and who can see it — for our website, our mobile apps and our Learning Management System.

1. Who we are

Edubeam is a Learning Management System operated by Valuable Edutainment Private Limited (“VEPL”, “we”, “us”, “our”), a company incorporated in India and part of the Valuable Group.

Edubeam is used by government departments, education authorities, schools, their staff, students and parents to deliver lessons, manage academic records and run education programmes.

3. Our role, and your school's role

Edubeam is supplied to education departments and schools. In most cases, the department or school decides what information is recorded about students and staff, who may see it, and how long it is kept. VEPL processes that information on their instructions and under our agreement with them.

This matters for your rights: if you want a record corrected or removed, the school or department that entered it is usually the right place to start. We will help them respond — see Your rights.

For visitors to this website, and for the accounts we create to operate the platform, VEPL decides the purpose itself.

4. Information we process

Where a school or department records them, student information may include name, gender, date of birth, class, section, roll and admission number, enrolment and academic year, guardian names and contact numbers, address, category, religion, attendance, examination results, and documents uploaded in support of admission or scholarship.

4.3 Staff records

Name, gender, date of birth, designation, qualification, subjects taught, employee ID, contact details, joining date, and documents uploaded by the school.

4.4 Learning activity

Homework set and submitted, quiz attempts and scores, lectures viewed, library issues and returns, and notices. Recorded lectures are published as video links and may include a teacher's voice and image.

4.5 Technical and security records

Why we keep change records. They exist so that a mistake or misuse affecting a student's record can be traced and put right. They are visible only to the platform administrator.

5. Sensitive personal data

Depending on what a school or department chooses to record, Edubeam may hold information that requires particular care, including Aadhaar numbers, PAN numbers, bank account details, blood group, health notes, disability details, caste category and religion.

Where this information is present it is treated as confidential, is visible only to users whose role and school assignment permit it, and is covered by the security measures in section 13.

We ask schools to record such details only where there is a genuine administrative or statutory need.

6. How information is used

Information in Edubeam is used to:

We do not sell personal information. We do not use student information for advertising, and we do not build commercial profiles of students.

7. Who can see what

Access follows two rules at once: the role assigned to an account, and the school, block or district it belongs to. A principal sees their own school. A block official sees the schools in their block. A student sees their own record and their own class's material.

Accounts are given access only to the functions their role permits. An attempt to reach information outside those permissions is refused and recorded.

8. App permissions

The Android and iOS applications may ask for the following, depending on the features enabled for your account.

Permissions are requested by your device's operating system at the point a feature is first used, and are listed on the Google Play and Apple App Store pages for the app. You can change or withdraw them at any time in your device settings; the related feature will then stop working, but the rest of the app will continue to function.

9. Location

Edubeam does not collect your location. The platform does not request GPS or precise location permission, and does not track the movement of any user or device.

We do record the IP address of sign-in attempts and record changes, as described in section 4.5. An IP address indicates only a broad, approximate area, and is kept for security purposes rather than to locate individuals.

10. Automated question generation

Edubeam can draft quiz questions automatically using Google's Gemini service. When this feature is used, the platform sends only the class level, subject and topic for which questions are wanted.

No student, staff or account information is sent — no names, no marks, no records. The questions that come back are reviewed by a teacher before use.

11. Sharing and service providers

We do not sell personal information. Information is shared only in the circumstances below.

Records are available to the school, block, district and state officials responsible for them, according to their role and geographic scope.

Service providers may use information only as needed to provide their service to us, under contract.

11.3 Where the law requires it

We may disclose information where required by law, by a court, or by a lawful request from a government or law-enforcement authority.

11.4 Corporate transactions

If VEPL is involved in a merger, acquisition or transfer of business, information may transfer as part of it, subject to law and to our obligations to the departments and schools we serve.

12. Where your data is stored

All Edubeam data is stored and processed in India.

The platform runs entirely in Amazon Web Services' Mumbai region. Databases, uploaded files, backups and logs remain in India. This is a requirement of the government programmes Edubeam serves, and it is enforced in how the platform is built — not only stated as policy.

The two exceptions are narrow and involve no personal records: quiz questions drafted through Google's Gemini service (class, subject and topic only — section 10), and push notifications routed through Expo (a device token and the message text). Playing a lecture video connects your browser or device to YouTube in the ordinary way.

13. How we protect information

No system can be completely secure. You are responsible for keeping your password confidential, and for telling us or your administrator promptly if you believe your account has been used by someone else.

Closing an account does not automatically delete the educational records associated with it, because the school or department may be required to keep them.

15. Students and children

Edubeam holds records about school students, including children under 18.

Student records are entered and managed by schools and education authorities for educational and administrative purposes. The school or authority is responsible for having the lawful basis to do so, including any parental consent required under the Digital Personal Data Protection Act, 2023.

In relation to children, Edubeam:

Because schools and departments control most records in Edubeam, requests are usually handled fastest by the school that entered the information. If you contact us first, we will tell you where to direct the request and assist the school in responding.

17. Grievance officer

In accordance with the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 and the rules made under it, you may contact our grievance officer about this policy or about how your information has been handled.

18. Changes to this policy

We may update this policy as the platform changes or as the law requires. The “last updated” date at the top will change, and material changes will be notified through the platform or to the department or school concerned.
