Signing in and accounts

How do I get a login?

Accounts are created by your school or by the education department — not by us directly. A principal can create logins for their own school's teachers and students; district and state officials can create them more widely.

If you do not have a login, ask your school administrator first. If they are unable to help, write to support@edubeam.com from your official email address.

I have forgotten my password. How do I reset it?

Your school administrator can reset it for you and issue a new temporary password. Principals can do this for their own school; department officials can do it more widely.

For security, a temporary password is shown only once when it is generated, so note it down before closing the screen. You will be asked to choose your own password the first time you sign in with it.

Why is it asking me to set a new password when I sign in?

Every account created in bulk or reset by an administrator is issued a temporary password. The first time you use it, Edubeam requires you to replace it with one only you know. This is deliberate — it means the person who created your account cannot sign in as you afterwards.

Why can I not see a menu item that a colleague can see?

What you see depends on two things at once: the role your account has, and the school, block or district it belongs to. A principal sees their own school; a block official sees the schools in their block.

Menu items you have no access to are hidden rather than shown and refused. If you believe you need access to something, your administrator can change your role or adjust permissions from Role Management.

For students and parents

Where do I see my subjects and my teachers?

Open My Subjects from the menu. It shows your class, your stream, your class teacher, and every subject with the teacher who takes it.

If it says “No class section set up”, your school has not yet created your class section for the year. If it says “Teachers not allocated yet”, the section exists but your school has not finished assigning teachers to subjects. In both cases the school completes this, and the page fills in automatically.

I can see homework for a class that is not mine.

You should not, and this was corrected. Homework is filtered to your own class on the server. If you still see homework for another class, sign out and back in, and then tell us at support@edubeam.com with your class and school name.

How do I know whether a library book is available?

Open Library from the menu. Each book shows how many copies are free — for example “2 of 5 available”. You can filter to show only books with a copy free.

Borrowing is not done in the app. Take the book details to your school library desk, and the librarian will issue it.

A lecture will not play.

Lectures play from a video link added by the content team. A session that appears in the planner but has no recording yet will not open — the schedule entry exists before the video does.

If a lecture that used to play has stopped, check your internet connection first, then report it with the date, studio and subject.

As a parent, what can I see?

A parent account shows the records of the children linked to it, and nothing else. If a child is missing from your account, or one appears who is not yours, contact the school — the link is made from the school's own records.

For teachers and principals

My planner is empty, or a period shows no lecture.

The planner shows the broadcast schedule imported for your studio. An empty period simply means nothing is scheduled in that slot for that day.

If a whole day looks empty when it should not, check that the correct studio tab and date are selected. Studios cover two classes each, so both classes' lectures appear against the same period.

How do I record which chapter I actually covered?

Open the session in the planner and edit the Chapter / Topic field. Studio teachers can change this field and no other, so the timetable itself cannot be altered by mistake.

How do I upload student or staff records in bulk?

Use the Template button on the Students or Staff screen to download the correct spreadsheet, fill it in, and upload it with Bulk Upload. The template's Instructions sheet explains each column.

Type dates as YYYY-MM-DD and do not reformat the date column to a Date type — on some machines Excel then reads 3-8-2026 as 8 March rather than 3 August, and only days 1 to 12 are affected, which makes the mistake easy to miss.

For administrators

I imported a schedule and it replaced existing lectures.

That is how the import works: it replaces every row for the studios and dates the file covers, so re-uploading a corrected file does not create duplicates.

Always press Export before importing. The export is a complete record of what is stored, and re-importing it puts everything back. Video links already attached to those sessions are preserved across a re-import.

Can a month use different period timings?

Yes. The times in row 4 of the schedule template are read from the file, not fixed. Edit that row and the import follows it. Write each slot as start-end, for example 8:10-8:50 or 1:30 pm-2:10 pm. Anything the import cannot read is reported rather than silently skipped.

Who changed a record, and when?

Open Audit Log. It shows who changed a student, staff, school, user or lecture record, when, which fields changed, and from which IP address. Search by name, school or date. Entries are kept for 365 days.

The audit log is visible to the platform administrator only, and cannot be granted through Role Management — so nobody can give it to themselves or hide their own activity.

The mobile app

Which devices are supported?

The Edubeam app is available for Android and iOS. Everything in the app is also available in a browser at lms.edubeam.com, so you can use whichever suits the moment.

Why does the app ask for camera and file permissions?

Camera and photo access are used to take or upload a photograph or scan a document for a student or staff record. File access is used to attach documents to a record or a homework submission.

Permissions are requested only when you first use the feature that needs them, and you can withdraw them in your device settings. The rest of the app keeps working; only that feature stops.

I am not receiving notifications.

Check that notifications are allowed for Edubeam in your device settings, and that battery-saving mode is not restricting the app in the background. Signing out and back in re-registers the device for notifications.

Data and privacy

Where is our data stored?

Entirely in India. The platform runs in Amazon Web Services' Mumbai region, and databases, uploaded files, backups and logs all remain in India. See the Privacy Policy for the detail.

Who can see a student's personal details?

Only users whose role and school assignment permit it — typically the school's own staff and the officials responsible for that school. Every change to a student record is logged with the person who made it.

How do we correct or remove a record?

Ask the school that entered it, as schools control their own records. If that is not possible, write to support@edubeam.com, or contact the grievance officer named in the Privacy Policy.
